Contact enquiries
If you use the contact form or email us, we receive the information you provide, such as your name, email address, business details, service category and message. We use it to respond, understand the help you are seeking and decide whether SOJA may be able to provide a service.
We process this information because it is necessary to take steps at your request before a possible engagement and because we have a legitimate interest in answering enquiries and managing potential professional relationships.
The contact form emails your enquiry to the SOJA business inbox. It does not create a separate enquiry database on the website. Please do not include tax references, bank details, identity documents or financial documents in the form.
Hosting, email and form security
Hostinger hosts the website. Google provides business email delivery. Cloudflare Turnstile checks contact-form submissions for automated abuse. The website also uses a short-lived security session and temporary, hashed network-address counters to help protect the form.
These providers process limited technical information on our behalf or as independent controllers for security and service delivery. Where information is processed outside the United Kingdom, the relevant provider is responsible for using an appropriate transfer safeguard.
Optional website analytics
If you accept analytics cookies, we use Google Analytics 4 to understand broad website use, such as pages viewed, enquiry starts, successful form submissions and contact-link clicks. We also use campaign information in a link, such as UTM tags, to understand which source led to a visit.
Analytics events do not include the name, email address, business name or message entered into the form. Google signals and advertising personalisation are disabled. Analytics does not load until you accept, and it remains disabled if you reject.
The Google Analytics property will use a 14-month event-data retention setting. Aggregated reports may remain available after event-level data expires.
How long we keep information
We keep enquiry information only for as long as reasonably necessary to respond, manage the potential professional relationship and establish or defend legal rights. If you become a client, relevant correspondence may form part of the client record and be retained under the separate professional and legal requirements that apply to the engagement.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your information, to object to processing, and to receive information you provided in a portable form. Where processing relies on consent, you can withdraw that consent at any time.
